Before You Book – Appointment Readiness Checklist

To ensure your notarization is completed successfully, please review the following requirements before scheduling your appointment.


Document Readiness

  • All documents must be complete and ready for notarization

  • Do not sign the document in advance unless instructed to do so

  • We do not prepare documents or provide legal advice

  • Confirm with the receiving party that notarization (and RON, if applicable) will be accepted


Identification Requirements

  • You must present valid, government-issued photo identification

  • The name on your ID should reasonably match the name on your document

  • For in-person notarizations, some expired IDs may be accepted if they can still reasonably verify identity

  • For Remote Online Notarization (RON), ID must be current and unexpired

  • Military IDs may be used for in-person notarizations but are not accepted for RON identity verification


Remote Online Notarization (RON) Readiness

If booking a remote appointment, please ensure:

  • You have a stable internet connection

  • You are using a device with a working camera and microphone

  • You are able to complete identity verification, including Knowledge-Based Authentication (KBA) if required

  • You are in a quiet, well-lit location during the session

Failure to complete identity verification will prevent the notarization from proceeding.


Witness Requirements (If Applicable)

  • Some documents require one or more witnesses

  • Witnesses must be at least 18 years old, impartial, and provide valid identification

  • Certain documents may require non-related witnesses

  • If multiple witnesses are required, availability must be confirmed in advance

If witness requirements are not met, your appointment may need to be rescheduled.


Signer Requirements

  • All signers must be present at the time of notarization (in-person or online)

  • Signers must be willing participants and aware of what they are signing

  • The notary cannot proceed if there are concerns about identity, awareness, or willingness


Appointment & Service Notes

  • All services are by appointment only

  • Same-day appointments may be available depending on scheduling

  • Travel fees may apply for mobile services

  • We reserve the right to decline or reschedule appointments if requirements are not met


 


Common Reasons Identification or Identity Verification May Not Be Accepted

In-person and Remote Online Notarization (RON) require successful identity verification before a notarization can be completed. If identity requirements cannot be met, the appointment may need to be rescheduled.

In-Person Notarization (Mobile / Ink Notarization)

Common reasons identification may not be accepted include:

  • ID is severely damaged, unreadable, or missing key identifying information

  • Name on ID does not reasonably match the document signer’s name

  • Expired identification that cannot reliably confirm identity

  • Lack of sufficient supporting identification when additional verification is required

In some cases, alternative forms of identification or credible witness procedures may be used if permitted under Ohio law.


Remote Online Notarization (RON)

RON requires identity verification through a state-approved platform. Even with valid ID, identity verification may not always be successful.

Common reasons identity verification may fail include:

  • Unable to pass Knowledge-Based Authentication (KBA) questions

  • Inability to verify credit or public record history used for identity validation

  • ID is expired or does not meet platform requirements

  • Information provided does not match public records or ID records

  • Technical issues preventing completion of verification steps

If identity verification cannot be completed through the platform, the remote notarization cannot proceed.


About Knowledge-Based Authentication (KBA)

KBA is a security process used in Remote Online Notarization where the signer must answer questions based on their personal history and public records.

These questions are generated by third-party identity verification systems and may involve topics such as past addresses, financial accounts, or other record-based information.

If a signer is unable to correctly answer the required KBA questions, the identity verification process cannot be completed, and the notarization cannot move forward.


Important Note

Identity verification requirements are designed to protect all parties involved in the notarization process. If verification cannot be completed, the appointment may be paused or rescheduled until acceptable identification or verification can be provided.
